Frequently asked questions

Straight answers about filming, review, approval, and your data.

Do I need my employees' consent before filming them?

Yes — get it, in writing, before you film. You are the employer and stay responsible for how your team is filmed and shown. A one-paragraph consent note signed once is usually enough; keep it with your HR records. Before approving a SOP, review every photo and clip the way the review screen prompts you to — nothing is published without your approval.

Is a generated SOP automatically compliant with food-safety or labor regulations?

No — and be wary of any tool that claims otherwise. ManualForge drafts what your video actually shows and says, with the evidence attached. Judging whether the procedure itself meets your regulatory obligations is your manager's call, made during the approval step. A SOP is never labeled approved until a responsible human approves it.

What exactly does “Draft” mean on my documents?

Every AI-drafted document carries a visible DRAFT — NOT APPROVED FOR OPERATIONAL USE banner until your manager reviews each step and explicitly approves the PDF. The banner is removed only by that approval — never by time passing or by looking polished.

Who can see my SOPs?

Members of your workspace see everything in the app. The QR Hub page of a SOP is public by design — anyone who scans the printed QR code can read it, because that's how your team uses it at the workstation. Internal costs, margins, manager notes, and reviewer identities never appear on Hub pages or in exported documents.

What happens if the AI gets a step wrong?

You fix it in the review screen: accept, correct any field (wording, timestamp, the step photo), or reject the step entirely. If the video itself doesn't show the action well enough, film a short additional capture — a SOP can be built from several videos of the same process.

Do you train AI models on my videos or recipes?

No. Your content is processed to draft yourdocuments, nothing else. Processing uses OpenAI's API, and OpenAI states that API-submitted data is not used to train its models.

How long does it take from video to draft SOP?

Typically a few minutes: upload, automatic transcription and analysis, then the draft appears in your review queue. A ~6-minute video processes in roughly 2–4 minutes.

Can I delete a video, a SOP, or my whole account?

Yes, at any time, on request. The self-serve deletion flow is being finalized; until it ships, deletion requests are handled directly. See Your data for the full picture.
