The videos you film, the procedures they show, and the SOP documents ManualForge drafts from them belong to your business. ManualForge stores and processes them on your behalf — nothing more. We never use your content to train AI models, and no other customer can ever see it.

What happens to a video, step by step

1. Upload. Your video is stored in a private storage space scoped to your workspace. It is never public — every access goes through short-lived, signed links.
2. Transcription & analysis.The audio track is transcribed and the transcript plus a small set of still frames are analyzed by AI to draft your SOP steps. We use OpenAI's API for this processing; OpenAI states that data submitted through its API is not used to train its models.
3. Draft, never fact. Everything the AI produces is a draft. Every step carries its evidence (timestamp, photo, the narrator's own words) and waits for a human reviewer. Nothing is called approved until your manager explicitly approves it.
4. Publication, on your terms.A SOP's QR Hub page is reachable by anyone who has the QR code or link — that is its job in your kitchen. Internal costs, notes, and reviewer details never appear on it.

How long we keep your videos

Source videos are kept while their SOP is alive: they are the evidence behind every step photo and every future re-capture or improvement. You can ask us to delete a video, a SOP, or your entire workspace at any time. Formal retention windows and the self-serve deletion flow are being finalized — until then, deletion requests are handled directly and promptly.

Filming people

Your videos usually show your own team at work. Getting your employees' agreement before filming is your responsibility as their employer — see the FAQ for practical guidance. Review every photo and clip before approving a SOP, exactly as the review workflow prompts you to.
